Document approval workflows, with the signature at the end

Purchase orders, contracts, CAPEX requests and policies all need the right people to agree before anyone signs. Refrendo routes the document through them and keeps a record that will stand up later.

Three ways to route a step

Steps run in order, so the supplier is only asked to sign after Finance has approved, and your Director only countersigns after the supplier has signed.

Approve, reject, or ask for changes

Approvers don’t just click yes. They can reject with a reason, or ask for changes with a comment. When they ask for changes, the sender revises the document (or explains why it stands) and everyone reviews the new version. Refrendo keeps every version, fingerprinted, with each decision tied to the exact version it was made on.

Nobody gets lost

Each person is emailed only when it’s their turn, reminded automatically if they don’t act, and can pass their turn to a colleague. Your dashboard shows what needs you, what’s waiting on others, and what’s done.

Use it from your own systems

On the Business plan, send approval requests from your ERP or finance system through the REST API, and get a webhook the moment a document is approved, rejected or signed.

Questions

What happens if an approver asks for changes?

The request pauses and you see their comment. You upload a revised document, or resend the same one with a note, and the request starts again from the first step. Approvals given on the old version stay on the record against that version; they never carry over to the new one.

Can two people approve at the same time?

Yes. A step can need everyone in it, any one of them, or a number of them, for example any two of three directors. People in a step are asked at the same time.

What if an approver is on leave?

They can pass their turn to a colleague, or you can reassign it. The original person stays on the record as having passed it on.
