1. Set up your organisation
Sign up, name your organisation and invite the people who send. Give each the role that fits (sender, approver or administrator) and, on Business, connect single sign-on so people sign in with their work account.
2. Rebuild the templates you actually use
Refrendo doesn’t import templates from other tools; their field formats differ. Instead, pick your five or ten most-used documents. For each, upload the PDF, add the roles (“Finance approver”, “Supplier”, “Director”), place the fields, and save it as a template. It takes a few minutes each, and you’ll often find steps you no longer need.
3. Send new requests from Refrendo
From a set date, send everything new through Refrendo. Leave requests already out in your old tool to finish there. There’s no need to recall and re-send them.
4. Connect your systems
If your finance or HR system sends documents automatically, point it at Refrendo’s REST API and subscribe to webhooks for completions (Business plan). The API sends from a template in one call: name the template and who fills each role.
5. Keep your records, then cancel
Download completed documents and certificates from your old tool, in bulk if it allows, and store them with the rest of your records. Then cancel at the end of your billing period.
What will feel different
- We call them requests, and approvals are a normal step rather than a special feature.
- Your allowance is shared across the team, not split per user.
- When someone asks for changes, you revise or resend and everyone reviews the new version. Nothing approved on the old one carries over.
