Templates for documents you send often

Once a request is set up, save it as a template. Its recipients become roles, such as Supplier or Finance approver, and next time you only fill in who they are. A role can also be filled already, by a colleague or by a fixed outside person, such as the same director every time.

Start a new request from Templates, or from the first step of New request.

Details the sender fills in

Add up to 30 details for the sender to fill in when they send: a PO number, a supplier, an amount, a date, a yes or no, or a choice from a list. Place a detail on the PDF and it is written onto the document before anyone signs. Use it in the request’s title, such as “PO {Number} for {Supplier}”, and use it to decide which steps apply (Business and above).

A template can also ask for up to 10 supporting PDFs, each required or optional, such as a quote behind a purchase order. They are joined after the template’s own pages, so everyone sees one document.

The designer

Design the route as a flowchart or as a list. The flowchart draws each step, each condition and its Yes and No paths, so you can check the route against your approval policy before anyone sends.

Every save is a new version. A request already sent keeps the version it started from, and two people editing the same template at once can’t overwrite each other’s work.
