Help centre · Signing and approving
Approvals, and the order people act in
A request is a series of steps. Nobody in a later step is emailed until the earlier steps are complete, so a supplier never sees a contract Finance hasn’t approved.
If an approver rejects the document or asks for changes, the request stops there and you are told. Upload a revised version, or resend it unchanged, and the request starts again from the first step. Approvals given on the old version stay on the record against that version.
Several people can share a step, and you choose whether everyone must act or any one of them is enough (Team and above), or set a minimum, such as any 2 of 3 directors (Business and above).
Steps that depend on the details
A template can include or skip a step by the details the sender fills in (Business and above): the CFO only when the amount is $50,000 or more, for example, or a different approver for each department. A rule compares a detail with a value (equals, more or less than, yes or no), and several rules can be combined so that all or any of them must hold. A step can also sit on the Yes or No path of an earlier rule.
The route is decided once, when the request is sent, and the sender sees it before they send. A step that was left out stays on the request with the reason, so the record shows why someone was or wasn’t asked.
When someone is away
An approver or signer can pass their turn to a colleague, with a reason, and the sender or an administrator can reassign someone who is stuck (Team and above). The person first asked stays on the record as having passed it on.
