Agreeing to electronic records

Before anyone sees a request, they read a short disclosure from the organisation that sent it: how to get a paper copy, how to change their mind, what they need to open the documents, and how to keep a copy. They tick a box to agree to use electronic records and signatures. They can save a copy of the disclosure, and read it again later from the request.

Anyone who would rather not can say so on that screen. The request is declined in their role, and the sender is told why. Passing the request to someone else needs no agreement.

Your own disclosure

Every plan shows Refrendo’s standard disclosure with your organisation’s name in it. To use your own wording, publish your own disclosure from the Team page, in each language you send in (Business and above). Each change is a new version, and a request in a language you haven’t written one for shows your English version, or the standard one if there is none.

On the record

The exact text shown, its version, and the statement each person ticked are kept with the request. The certificate lists when each person agreed, which disclosure they agreed to, and every statement they confirmed, word for word in the language they saw it.

The disclosure is your organisation’s: what it needs to say is for you to decide.
